Shipping your sample to Chengfenbao: documents, packing and courier

Who this page is for: inks, coatings, adhesives, plastics, rubber and similar non-hazardous industrial samples sent by courier for composition analysis. For cosmetics and personal-care products, contact us first; we will confirm how to send them.

1. Get an acceptance number first

Request a quote. After the fixed quotation in USD, the signed agreement and payment, we e-mail your acceptance number and the receiving address; the address is given only there. A parcel without an acceptance number is refused and returned at the sender's cost. If the product is already in China, for example with your supplier, the supplier can ship it to us directly.

2. Put three documents in the parcel

Proforma invoice: the real product name (not just "samples"), quantity, unit value and total value at the actual market value, your acceptance number, and the purpose: "Samples for laboratory analysis only. Not for resale."

Packing list.

Safety data sheet (SDS) for every product in the parcel.

That is all you prepare. The testing commission letter and the customs declaration in China are handled by us and our customs broker, and are included in the quotation. If customs asks for anything else, we contact you within one business day.

3. Pack and label

Use the original packaging where possible. If you send a portion, agree the quantity and container with us first, seal it so it cannot leak, and label it with the product name used on the invoice and SDS. No more than 3 units per product; keep the total value of one shipment under CNY 5,000 (or the equivalent), or tell us before shipping. Photograph the packaging and lot numbers before closing the box. A damaged or leaking parcel, or one that does not match the declaration, cannot be received.

4. Ship

Use DHL Express, FedEx or UPS, not postal service. Choose duties and taxes paid by the shipper (DHL DTP, FedEx Bill Shipper or UPS Free Domicile). Write the acceptance number in the air waybill remarks and on the invoice. Ship within 30 days of the acceptance e-mail, then e-mail us the tracking number, the photos and a copy of the invoice. Shipping, duties, taxes and clearance charges on your side are yours; our customs handling in China is included.

5. After arrival

We photograph and log the sample on arrival and begin the analysis. The English PDF report is typically ready 15–20 working days after the sample arrives. What remains of the sample is kept for 30 days and then destroyed, unless you ask for it back before then at your cost.

What we cannot receive

From overseas we can receive only solids, water-based products and cured samples. Solvent-based liquids, other non-water-based liquids and aerosols cannot be received, even through a courier's dangerous-goods service; for a solvent-based product, send a cured film or the solids fraction instead (see our guide on sample forms). The full list is in our guide on sending a sample. If your SDS classifies the product as dangerous goods for transport, or it contains a lithium battery, say so when requesting the quote and wait for our confirmation.
